We’re looking for a team player with great organizational skills and the desire to learn the marketing ropes in tourism. The duties combine basic support and administrative tasks with hands on involvement in key marketing programs.
Job Expectations: Assist the BOD on all levels including Marketing, Event Planning, Promotions and general administrative duties.
MARKETING:
* Maintain company files through proper labeling, filing and archiving.
* Maintain company brochures, implement changes and revisions when necessary.
* Update company marketing materials as necessary.
* Maintain up-to-date inventory of office supplies. Responsible for ordering and stocking inventory with special attention to paper, binders, clips, etc.
* Organize and maintain marketing distribution lists for various mailings.
* Update and maintain Marketing Calendar, with proactive attention to due dates and deadlines.
* Conduct product research for various items such as giveaways, packaging, client gifts.
* General maintenance needs of the office (i.e. phones, equipment servicing, etc.), overnight shipping, messengers and similar needs; coordinating and assisting with group projects (promotional mailings, events); schedule large group meetings/arrange conference room space and offsite meetings; assist with duplication and copying of presentations for various department members (manager level), whether using in-house or outside vendor resources.
EVENT PLANNING:
* Create timelines, spreadsheets, budgets and guest lists for tracking and maintaining status reports. Develop RSVP log.
* Generate check requests for vendors with appropriate follow-through.
* Handle all venue research and caterer research.
ADMINISTRATIVE:
* Office receptionist/secretary
* Responsible for general filing and organization; opening and organizing mail; scheduling meetings and business travel; answering phones, word processing/proof reading; formatting formal PowerPoint presentations, maintain library of current marketing materials for publication, keep vacation calendar for dept. and other general admin work.
* Develop status report of all active and future projects; create calendar that syncs all information together.
* Research vendors such as art, catering, promos, corporate gift giving.
* Effectively screen incoming phone calls in a professional, clear manner for as needed.
* Proactively attend to all administrative activities including but not limited to the following: answering phones; maintaining contact files; scheduling transportation; arranging appointments; processing check requests, expenses, expense reports, invoices, budgets; correspondence; filing.
QUALIFICATIONS:
* Female, 22 to 25 years old
* Possesses a pleasing personality
* A Bachelor's / College Business Studies/ Administration/ Management/Marketing or equivalent.
* Possesses excellent oral and written communication skills
* Good research and writing skills
* Comfortable with external communications, both with other tourism-related units and to outside clients.
* Extremely detail-oriented. Must be a self-starter who is highly motivated and works well with others.
* Proficient in Microsoft Word, Excel and PowerPoint.
* Able to work under pressure, with minimum supervision
* Highly motivated, diligent and punctual.
* Attention to detail and an overall customer service orientation.
